Rental Terms & Conditions

Welcome to Onroadz Guwahati. By accessing or using our services, you agree to the terms below. We may revise these terms at any time; continued use will be treated as acceptance.

Who Can Rent?

• Minimum age to rent is 23 years with a valid driving license.
• Minors cannot rent directly. A parent/guardian must be the primary renter.
• For residents of North East India, additional Employment ID / Business documents may be required.

Required Documents

• Valid driving license issued by Government of India.
• Employment ID / Business Certificate (for North East residents, where applicable).
• Original DL and any one of Voter ID / Aadhaar / Passport must be produced at the time of delivery.
• If identity cannot be verified, the booking may be cancelled or treated as void.

Security Deposit Policy

• No deposit is required if original Voter ID, Passport, or Driving License is submitted at the time of rental (as per agreement).
• Otherwise, a refundable deposit applies:
  • Hatchback / Sedan: ₹5,000
  • SUV / MUV: ₹7,000

Payment Policy

• Full payment for the rental must be made at the start of the trip.
• Accepted modes: UPI, netbanking, card and other modes as informed by our team.
• A booking is considered unconfirmed until payment is successfully received.
• Any token / advance paid to block the vehicle is generally non-refundable in case of customer cancellation, but adjusted in the final bill if the trip proceeds.

Fuel Policy

• Vehicle must be returned with the same fuel level as at the time of pickup.
• Any shortfall will be charged based on mileage and prevailing fuel rates.
• No refund is provided for any excess fuel left in the vehicle.

Toll & FASTag

• The renter is responsible for all toll and FASTag charges during the trip.
• You must recharge FASTag as required. Any excess recharge is non-refundable.

Kilometre Limit & Extra Charges

• Standard allowance is 300 km per day.
• Extra km charges (approximate, as per car type):
  • Small Hatchback: ₹6/km
  • Medium Hatchback / Sedan: ₹7/km
  • Compact SUV: ₹8/km
  • SUV / MUV: ₹11/km
• In case of total loss (vehicle beyond economical repair or stolen), the customer is liable to bear EMI and an agreed rental component until insurance settlement is completed, as per the individual agreement.

Accidental Liability & Protection Plans

• You may add an accident protection plan by paying a small additional fee, which will limit your maximum liability in case of accidental damage (as per the plan mentioned in your voucher/agreement).
• Indicative liability without any protection plan:
  • Hatchbacks: up to ₹45,000
  • SUVs: up to ₹60,000
• Under specific Rental Insurance / RIPP plans (if opted), liability may be capped further (e.g., around ₹30,000–₹50,000 depending on car category and plan version). Exact limits will be mentioned in your agreement.

Full damage cost (no cap) will apply if the user is:
1. Driving under the influence of alcohol or drugs.
2. Driving in a reckless / rash / negligent manner leading to substantial or irreparable damage.
3. Using the vehicle for off-road travel, competitive racing, or any unauthorized activity.
4. Using a suspended, invalid, fake or fraudulent Driving License.

Pickup & Drop Options

• Office pickup & drop is generally free.
• Other locations (e.g., Airport, Railway Station, Doorstep, Hotels) attract additional delivery charges as communicated at the time of booking.
• Delays caused by traffic, weather, or other external conditions are not covered under free waiting; extra waiting charges may apply.

Rental Duration & Extra Hours

• Rental is counted in 24-hour cycles from the pickup time.
• Extra hours are typically charged proportionately: Extra hour ≈ (Daily rental ÷ 12).
• If delay exceeds 3 hours beyond the scheduled return time, a full additional day’s rental may be charged.
• Extension of booking is allowed only if the vehicle is available; please inform us in advance.

Breakdown Assistance

• Basic phone support / guidance is available in case of breakdown.
• Damages caused by negligence (e.g., clutch burn, tyre burst due to rash driving, glass damage, etc.) remain the renter’s responsibility.

Cleanliness & Car Care

• Vehicles are provided in reasonably clean condition.
• Penalties (typically from ₹500) may apply for:
  • Tobacco spit / stains.
  • Smoking inside the car or strong odours.
  • Food waste, trash or excessive dirt left in the vehicle.

Cancellations & Refunds

• Token / booking amount paid to block the vehicle is usually non-refundable if the customer cancels.
• Rescheduling may be allowed at the company’s discretion, subject to availability and revised pricing.

Fines & Penalties

• Overspeeding above 110 km/h (based on device/app or telematics data) may attract a penalty of around ₹1,000 per instance.
• If the renter is found intoxicated at the time of return or in case of accident, full damage liability may apply irrespective of any protection plan.
• Alcohol consumption inside the vehicle may attract an additional penalty (typically ₹1,000 or more).
• All traffic challans, fines, and penalties during the rental period are the renter’s responsibility.
